Motive has launched enhanced AI-powered functionality within its Workforce Management solution, with the goal of alleviating the administrative burden that comes with managing a frontline workforce. The San Francisco-based company is promoting this update as a means to consolidate and automate the necessary workforce processes, including driver qualification files, compliance documents, and training management, into a single integrated solution.
Within the physical world of business, many companies are still using spreadsheets, paper documents, and disparate systems to manage driver qualifications and regulatory requirements. This can create problems in terms of missed renewal deadlines for commercial driver’s licenses and medical cards, as well as incomplete documentation and unnecessary downtime for drivers. Audit results from the Federal Motor Carrier Safety Administration often point to record-keeping inaccuracies as a top compliance problem, which can put companies at risk of Department of Transportation penalties.
“Workforce management in physical operations has been manual and fragmented for far too long—but AI is changing all of that,” said Hemant Banavar, Chief Product Officer at Motive. “With these new capabilities, Motive is bringing qualifications, compliance, coaching, and workforce data into its integrated AI-powered platform to automate busywork so that organizations can work at a higher level of speed, visibility, and efficiency. This enables a fundamental shift from paperwork-driven processes to intelligent workforce management at scale.”

The updated platform now includes motor vehicle record (MVR) management. This lets organizations request, review, and track records right in the Motive dashboard. Expiration alerts and automated updates are designed to minimize compliance risks. A new driver walkthrough feature makes sure drivers submit required documents before they can access vehicles or log duty status. Also, AI-powered document capture extracts and verifies key information from uploaded licenses and medical cards. This helps reduce manual entry and errors.
In addition, the Workforce Management Hub will offer a unified view of driver data, payroll, and compliance information. Leaders can develop real-time reports, identify potential problems early, and enhance coaching without having to retrieve information from other systems.
Gilbert Solano of Watco highlighted the operational impact: “We used to spend hours every week chasing down driver paperwork, updating spreadsheets, and manually tracking expiration dates just to stay compliant,” he said. “Now, as we implement the Drivers Documents module and fully leverage the Motive system, we’re able to provide managers with accurate, real-time information. This not only streamlines their workload, but also helps keep their teams and equipment safe and compliant. Now those processes are automated, and everything is in one place. That shift has saved our team significant time and made it much easier to keep our workforce compliant without slowing operations down.”
Motive wants to improve how organizations manage their workforce. By integrating oversight into its AI platform, it helps replace slow paperwork with fast, data-driven decisions.
