Prodoscore Data Uncovers Hidden Workforce Capacity and Shadow AI Usage

Many corporate leaders may be making critical talent acquisition and artificial intelligence governance decisions without complete visibility into daily workplace operations, according to new research published by Prodoscore, a provider of workforce activity intelligence and operational efficiency software. The analytical findings reveal that nearly one in four employees demonstrates significant unused working capacity relative to role peers, while workforce reliance on unmanaged consumer AI platforms commonly known as shadow AI continues to accelerate.

Analysis across peer groups indicates that 23.7 percent of evaluated employees fall within the highest quartile for gap-to-active time compared to colleagues in equivalent positions. This metric remained largely stable from 22.7 percent recorded in the prior year’s benchmark study. Conversely, virtually no evaluated employees crossed the statistical threshold for over-utilization, indicating that many enterprise organizations possess hidden operational capacity that current workforce planning frameworks fail to capture.

“These findings suggest that leaders should first evaluate the capacity that already exists within their teams before automatically opening a new position,” said Sam Naficy, CEO of Prodoscore. “Activity data should never be viewed in isolation. When considered alongside employee output, responsibilities and demonstrated performance, it can help companies to make more informed workforce decisions. Prodoscore measures visible, on-screen activity and presents it as a capacity signal, not a verdict on individual productivity or number of hours worked.”

Unmanaged Consumer AI Tools Outpace Enterprise Applications

The study also underscores a growing operational divide between enterprise IT security policies and actual employee software usage. Across 72 monitored corporate environments, employees actively engaged with nearly 50 distinct artificial intelligence software applications.

Crucially, three of the five most widely used AI platforms ChatGPT, Gemini, and Claude were accessed as consumer-grade tools outside of enterprise IT provisioning and security protocols.

Key findings from the software usage evaluation include:

Dominant Market Penetration: ChatGPT led organizational adoption by a wide margin, reaching nearly three times as many corporate users as Microsoft Copilot.

Elevated Time Investment: Total active hours logged in ChatGPT exceeded Microsoft Copilot usage by nearly five to one.

Data Security & Visibility Blindspots: Because consumer-grade AI tools operate outside of corporate single sign-on (SSO) and managed tenant environments, IT security leadership maintains limited oversight over proprietary data inputs and intellectual property exposure.

“Taken together, these findings reveal two significant blind spots for today’s employers,” added Mr. Naficy. “Organizations may be underestimating the capacity that already exists within their workforce while simultaneously underestimating how quickly employees are adopting AI outside of company systems. Closing both visibility gaps will help leaders to make smarter hiring, workforce planning and technology investment decisions.”
